Refund & Cancellation Policy

Protime School

Effective Date: November 3, 2026

1. Introduction

At Protime School, we strive to maintain fair, transparent, and consistent financial policies for students, parents, and guardians.

This Refund & Cancellation Policy explains the procedures relating to school enrollment cancellation, student withdrawal, tuition refunds, transportation services, and other school-related payments.

Refund decisions are subject to the school's published fee schedule, the applicable enrollment agreement, and relevant laws.

2. Registration and Enrollment Fees

Registration and enrollment fees may be charged to cover admission processing, administrative activities, and related services.

Any non-refundable registration charges must be clearly disclosed to parents or guardians before payment.

Where a school cancels an enrollment or cannot provide an agreed service, the school will review applicable refund obligations.

3. Tuition Fee Refunds

Tuition refund eligibility depends on the applicable enrollment agreement, payment arrangements, services already provided, and any mandatory legal requirements.

The school may consider the following circumstances:

  • Cancellation before the academic term begins.

  • Withdrawal after classes have started.

  • Duplicate or incorrect tuition payments.

  • Cancellation of an educational program by the school.

  • Other exceptional circumstances requiring review.

Any refund deductions or restrictions must be supported by the applicable agreement and law.

4. Cancellation Before the Academic Term

Parents or guardians who wish to cancel an enrollment before classes begin should submit a formal withdrawal request.

Any refundable tuition or registration amounts will be determined according to the conditions disclosed at enrollment.

The school will explain any applicable administrative deductions or non-refundable charges.

5. Withdrawal After Classes Begin

If a student withdraws after the academic term has started, refund eligibility will depend on:

  • The date of withdrawal.

  • The educational services already delivered.

  • The agreed tuition payment terms.

  • Any applicable withdrawal charges.

  • Relevant legal requirements.

Unused tuition will not automatically be refundable unless provided for by the applicable agreement or law.

6. School-Initiated Cancellation

If the school cancels an educational program or is unable to provide a purchased service, affected families may be entitled to a full or partial refund as required by the applicable agreement and law.

Any alternative arrangements will be communicated to affected parents or guardians.

7. Transportation Fee Refunds

Refund requests for school transportation will be reviewed according to the transportation service agreement.

Eligibility may depend on the cancellation date, the transportation services already provided, and any disclosed administrative charges.

If the school discontinues a paid transportation service, appropriate refunds or adjustments will be considered.

8. Educational Materials and Additional Services

Refunds for books, uniforms, learning materials, extracurricular activities, and other optional services are subject to the specific terms disclosed at purchase.

Where applicable, the condition of physical items and whether services have already been provided may affect refund eligibility.

Mandatory consumer rights remain unaffected.

9. Duplicate and Incorrect Payments

If a parent or guardian is charged more than once or an incorrect amount is collected, the school will investigate the issue.

Verified billing errors will be corrected, and any amount improperly collected will be refunded or otherwise resolved as required.

10. How to Request a Cancellation or Refund

Parents or guardians may submit a request to the school administration.

Requests should include:

  • Student full name

  • Student identification number, if available

  • Parent or guardian name

  • Contact information

  • Payment date and reference

  • Reason for cancellation or refund

  • Relevant supporting documents

Requests may be submitted by contacting:

11. Review and Processing

The school will review refund and cancellation requests according to its published policies and applicable agreements.

Approved refunds will be processed using an appropriate payment method.

Processing times may depend on the school's procedures, banks, and payment service providers.

Any specific review deadlines or refund processing periods should be disclosed through the applicable enrollment agreement.

12. Outstanding Balances

If a student withdraws while school fees remain unpaid, the school may review outstanding contractual balances.

Any collection, adjustment, or offset must comply with applicable law and the relevant agreements.

13. Changes to This Policy

The school may update this policy when necessary.

Material changes will be communicated through appropriate channels.

Changes will not retroactively remove refund rights that already apply under an existing agreement or applicable law.
